Q: What is the customer experience like with Hayward Photography?
Outstanding Customer Service is what makes Hayward Photography different from our competitors. Each school receives personal attention by being assigned an Account Manager. This means that every time someone from your school calls our office, they will be able to speak with the same person. Your school’s Account Manager is available Monday-Friday to deal with any questions that concern your school. Excellent Customer Service is why our clients keep coming back. When you choose a school photography company, the assumption is that they are able to take quality pictures. What sets us apart is our record of customer satisfaction.

Q: Who is taking our pictures and with what equipment?
School photography has undergone major changes in the last few years with the availability of digital photography. The advantages to photographing digitally are that the photographer can immediately see the picture and determine if additional shots are necessary. Everett Hayward is the primary photographer and he has selected and trained a team of experienced children’s photographers with expertise in OUTDOOR PHOTOGRAPHY. Our photographers are professionals working in the industry on a full-time basis. We do not use part time staff for the important pictures of your children.

Q: What should we expect our pictures to look like?
The majority of our portraits are taken outdoors, using nature as the backdrop. Our professional photographers plan in advance with the school to locate a safe location on campus to photograph the children. We find that the outdoor environment creates the best backdrop for the portrait, and the children seem to be most natural and relaxed in this setting. If severe inclement weather prohibits us from photographing outdoors we collaborate with the school to use a natural setting from an indoor location or our professional backdrops.

Q: What is the cost to parents for the portrait packages?
All of the offerings are customizable and each school can define the package offered. Our goal when organizing package options is make sure there is an option for everyone. The school may have the option to offer free group portrait or charge an amount that will increase school profit. Free portrait scholarship packages are available for children when the schools identify the need.

Q: Does Hayward Photography share any of the profits with our school?
We are the leader in profit sharing photography and proudly offer the following plans. If you feel another photography company offers a more lucrative profit sharing structure would appreciate the opportunity talk in more detail.

A one-year contract provides a 20% commission plan.
A three-year contract provides 25% commission plan.
Adding a Spring Portraits booking provides a 30% commission.

Q: How does Hayward Photography minimize disruption on Photo day?
We send Professional Photographer:
We have an extensive team of professional photographers who specialize in photographing children the Hayward way. This experience of photographing in a school setting is the key to minimal disruption. Many of our competitors use less experienced technicians in place of professional photographers.

Strategically select photography locations:
Beyond selecting the most picturesque location to host as the backdrop of your photographs, we are also in search of an area with less disruption. The selected location can have a calming effect on the children and provides us a better opportunity to capture a more natural and relaxed expression, and the best quality photographs.

We are very time sensitive:
Our professionals are fully aware of a school’s busy day and are always on time and prepared to photograph on schedule. Our photographers use many creative techniques to meet the challenges of photographing children. We work hard to get the best expressions in the quickest time frame. We also send as many photographers as needed in order to complete the session prior to the children’s lunch time.

Q: What are the ordering options and when will we receive our photos?
The school will decide if, pre-pay plan or proof plan is best. Most of our schools have their complete photos returned in 4-6 weeks from the original photo day.

Pre-Pay Plan
Prior to Picture Day we deliver pre-labeled and pre-sorted forms ready to be distributed to each classroom teacher. The children should be directed to bring home the order forms so their parents can complete the form and enclose the payment for the selected package option. These orders will be delivered to the photographer during Picture Day. If any parent has not returned the form by Picture Day they can mail the order form & payment directly to Hayward Photography. Our photographer will have additional order forms and will be sure to leave some in the school office. All Children will be photographed regardless of the status of the order. Additional order forms will be made available at the school office and all form will have specific details in regards to ordering.

Proof Plan
Parents will receive several photo proofs of their child and an order form. They will simply select the best pose, complete the order form, include the correct payment and return to the school. If they miss the deadline they can mail the order form and payment directly to Hayward Photography. Additional order forms will be made available at the school office and all form will have specific details in regards to ordering.

Q: What if a child misses the original Photo Day?
A school can request to schedule a Re-Take Day. Children who were unavailable on the original Photo Day may be photographed on this day. This day is usually scheduled to take place between 4-6 weeks after the original picture day.

Q: What if a parent is unhappy with a child’s portrait?
Parents are fully protected and we stand behind our portraits 100%. Our re-take and return rate are far below the industry standard. This speaks volumes about our dedication to quality.

A school can decide to host a Retake Day. This day is usually scheduled to take place between 4-6 weeks after the original picture day. Hayward Photography will re-photograph any child who returns the original, undamaged portrait package to the photographer.

A full refund will be provided to any parent who returns the entire, undamaged portrait package to our office within 60 days of receipt. If parents or staff members have questions or concerns regarding and order, they should contact Hayward Photography at (617) 698-1840.

Q: What if it is raining on our scheduled photo day?
Hayward Photography is a leader in the industry for outdoor photography. We have tried various ways to accommodate schools in the case of inclement weather. Our experience has taught us that rain dates prove to be too difficult for the school, the parents and the photographers. Very often it may be raining in the morning as parents are dressing their child, they see the weather and assume pictures will not be taken, therefore, they do not have their child dressed in the outfit they wanted for picture day. By the time the child comes to school the skies clear and we take pictures. You now have an unhappy parent.

We prefer to say that pictures will be photographed rain or shine. In case of inclement weather, we will first try to use a sheltered location such as an overhang or portico. If we do need to use a backdrop, ours are beautiful oil-painted canvases. We would be happy to discuss the issue of rain dates with you to come up with a solution that best meets the needs of your schools.

Q: Can a parent order more portraits after they receive their picture order?
Reorders can be placed using the order form included on the back of the original packaging envelope. If this is unavailable, please contact Hayward Photography at (617) 698-1840.

Q: Is there a school staffing requirement for photo day?
It is Hayward Photography’s policy that the photographer never be left alone with the children at any time. Either the teacher or a volunteer must be present. This is for the protection of both the children and the photographer.

Although not required, parent volunteers are strongly encouraged for many reasons. The photographer will try to ensure that the children are properly groomed (i.e. hair combed, collar straight). Often young children become intimidated when someone they don’t know approaches. It has been our experience that they are much more comfortable with a parent they are familiar with who is available to help. Also, if we find that we are running ahead of schedule, or if a class forgets to come out at their scheduled time, it is helpful to have someone that knows the school to serve as a “runner”.

It gives me great pleasure to write about how much we look forward to the team from Hayward Photography coming each fall, to take photographs of our enrolled children and their siblings.

Bright Horizon at Orange and Hayward Photography have been doing business for close to ten years, and every single year the parents have adored their child’s photographs.

Before arriving at the Center, the team at Hayward Photography helps to pre-plan and schedule the day, to determine how many photographers are needed in order to expedite the busy day.

Every year Hayward Photography has managed to take the children’s’ photographs outside. Having the natural elements, such as the fall foliage, is unique and visually stunning compared to the usual school photograph-type packet.

As a bonus the teachers receive a free 5x7 portrait photograph of themselves and 50% off their own child’s photographic packet.

Hayward Photography offers assorted packet choices for parents to choose from. There is always a timely turn around time so that parents are not left waiting to receive their much-anticipated photographs. The team at Hayward Photography personally takes care of any parent who is not 100% satisfied – so that it does not add to the Director’s to do list.
